Administration Assistant

Location:                       Bootham Crescent, York/ LNER York Community Stadium

Responsible to:             Sporting Director


Primary Role:               

To provide administrative support and functionalities to the club operation on a day to day basis, with primary focus upon hospitality, visitor liaison and reception duties.


Position in the Organisation:

The post holder will be a full time member of staff who is office based,


Responsibilities – General:


  • To take primary responsibility for the answering of telephone calls to the club’s main office


  • To forward telephone messages to appropriate individuals or departments, ideally by email


  • Separating incoming postal deliveries, distributing post to appropriate in trays or offices


  • Ensuring that outgoing post is all franked or stamped, prior to ensuring that this is taken to the post office or post box


  • To take primary responsibility for greeting visitors to the club’s main office, establishing the reason for their visit, having them sign in, if remaining on site and advising their on site contact of their arrival if applicable


  • Arranging appropriate equipment and resources for meetings


  • Assessing equipment and stock using an approved checklist


  • Provision of general administrative support


  • Maintaining levels of staff beverage provisions, i.e. tea bags, coffee, sugar and milk


  • Maintaining levels of stationary supplies, ensuring that stocks do not reach the agreed low level threshold, ordering additional resources when low levels are almost reached


  • Preparing match day tickets in association with the Club Secretary, in advance of fixtures


  • Arranging Vice Presidents tickets for match days as required, including liaison with the Chairman of the Vice Presidents


  • To complete all duties in accordance with York City Football Club policies and procedures, inclusive of health & safety policy, equal opportunities policy and code of conduct, while also complying with the content of his / her contract of employment.


  • To report accidents, injuries and illness to the Sporting Director


  • To report maintenance issues and or concerns in accordance with the maintenance procedure


  • To report any equipment defects which can not be remedied, to the Operations & Safety Manager


  • Advise the Operations & Safety Manager of any new products brought to Bootham Crescent/ LNER York Community Stadium which may be deemed to be hazardous substances, thus allowing for MSDS to be obtained for the said products


  • To carry out all instructions given by senior management
